Meeting preparation is one of those tasks that expands to fill whatever time you give it. Most professionals spend 30 to 60 minutes before a significant meeting re-reading old notes, scanning email threads, and trying to remember what was decided last time. It is repetitive, it is draining, and it is exactly the kind of task AI should be handling.

Microsoft Copilot Wave 3, released in March 2026, introduced a feature called Cowork that can now pull context from your calendar, email history, and past meeting notes automatically. The question is whether it actually works in practice or just works in the demo.

Why This Costs You More Than You Think

The problem with meeting prep is not the 45 minutes itself. It is what that 45 minutes displaces. It is the focused work that does not happen because you spent the first hour of your morning catching up on context you have already processed once before.

For anyone running five or more significant meetings a week, the accumulated cost of re-establishing context is real. The context already exists in your tools. The gap is that nothing was connecting it until now.

The System

This workflow requires Microsoft 365 with Copilot enabled and at least a few months of meeting and email history in the system.

Open Microsoft Copilot in Teams before your meeting. Use this prompt:

PROMPT: "Summarise the last three conversations I have had with [name or team] in the last 30 days. List any open actions, any decisions made, and any unresolved questions. Format as a short brief I can read in five minutes."

Copilot will pull from your Teams meeting transcripts, email threads, and calendar context. The output is a structured brief covering decisions, actions, and open questions. It is not perfect. It misses things that were discussed verbally without being captured in a transcript. But it is substantially faster than doing it manually.

For meetings where you have transcript history, the quality is notably better. For meetings that have never been transcribed, Copilot falls back on email context only, which is thinner.

What to Expect

Meeting prep time for a recurring call with good transcript history drops noticeably. The brief is not always complete, but it surfaces the things most likely to have been forgotten. It is most useful for recurring meetings where the history is rich, and least useful for first-time conversations where there is no prior context to draw from.

The limitation worth knowing before you test it: Copilot Cowork is strongest inside the Microsoft 365 ecosystem. If your workflow lives in Notion, Slack, or other external tools, context from those sources is not included. The results reflect only what Microsoft 365 has seen.
