How to Get AI Meeting Summaries Without a Bot Joining the Call

Third, open the fathom.ai panel before the call starts and select bot-free mode. That is the only change to your pre-call routine. Fourth, run the meeting. Nothing joins the call, nothing is visible to other participants. Fifth, after the call ends, fathom.ai processes the transcript and delivers the summary into your dashboard.

From there, use the summary as direct input for your CRM note. This is the prompt that produced clean, usable output in testing:

PROMPT: Rewrite this as a concise contact note for a CRM. Three sentences maximum. Include the main topic discussed, any next step agreed, and the date of the call. No filler phrases.

Paste that prompt into the fathom.ai summary editor with the generated summary as context. The output goes directly into your CRM. In testing across three Google Meet calls, the time from call ending to CRM updated was under four minutes.

One honest caveat: bot-free mode is still in beta. On one call, the transcript had a gap of roughly ninety seconds where audio dropped. It was reconstructable from context, but this is not yet the right tool for calls where you need a legally complete record. For everyday client calls and external conversations, it is reliable enough to replace both the bot and the manual note.

What to Expect

The first thing you will notice is that conversations feel different when you can honestly say nothing has joined the call. In one of the test calls, mentioning bot-free capture visibly relaxed the other party before the conversation started. The summaries across three calls required only one correction, where fathom.ai attributed an action item to the wrong person. The CRM note prompt produces output clean enough to paste without editing in most cases.
